Administrative Assistant

Austin, TX

This position is 24 – 30 hours per week and is a temporary position.  Typical work week hours would be 9am – 3:30pm four days per week or 8am – 5 pm three days/week.

Responsibilities include but are not limited to:

  • Processing mail; preparing meeting minutes; providing all filing, copying, letters and memos
  • Organization and maintenance of materials (filing / electronic); Scheduling and coordinating meetings and appointments; Maintain the master calendar of in-house meetings, staying abreast of employees’ calendars
  • Handle travel arrangements, support time sheet and expense processing; planning/organizing office events
  • Serve as facility receptionist; answering phones and greeting visitors; responding to customer inquiries and serving as liaison between company and client; support Engineering recruitment and on-boarding activities
  • Support RFP & RFI responses; update resumes; coordinate with landlord; maintain office operations
  • Supports all Project Management reports, invoicing, sand excel based financial/schedule projections
  • May use AutoCAD to organize and support document management functions in office

Minimum Requirements:  2+ years of related experience of administrative, document control, or marketing duties. The ability to track multiple activities and pay close attention to detail and final work product quality are important. Strong skills in MS Office (Word, Excel, and PowerPoint) required. Proven effective verbal and written communication skills, proven excellent level of interpersonal skills, ability to work individually and on a team, ability to work with confidential information, and attention to detail required. Successful applicant must be accurate at typing, have strong word processing skills, and be adept at learning computer software. The successful applicant must be able to be present in the office during normal business hours. Successful applicant may be subject to client mandated drug and background checking. Occasional travel/driving may be required.  Successful applicant is subject to ECI’s auto insurance carrier requirements.  Successful applicant must not require immigration sponsorship now or in the future.
