Administrative Assistant – Billings

Billings, MT

Responsibilities include performing a variety of administrative assignments including but not limited to:

  • Scheduling and monitoring travel arrangements as requested
  • Monitoring and screening incoming telephone calls and visitors
  • Acting as the general receptionist
  • Managing incoming and outgoing mail
  • Communicating and coordinating (written and verbal) with the general managers, engineering managers, and corporate staff members on all requested communications
  • Assisting with conference/meeting planning
  • Preparing complex documents under minimal supervision with information necessary for decision-making
  • Project and marketing support including dictation, copying, filing, meeting notes, assembling of books, reports, drawing sets, etc.
  • Establishing filing systems and coordinating project meetings
  • Coordinating expense submittals to corporate accounting department
  • Overseeing and assisting with the preparation of common areas for activities or meetings upon request

Minimum Requirements: Associate’s degree and 2+ years of related experience or high school diploma and 4+ years of related experience.  Successful applicant must have experience using MS Office (Word, Excel, Access, and PowerPoint), must be accurate at typing and have strong word processing skills; skills testing may be administered at the time of interview. Proven effective verbal and written communication skills, proven excellent level of interpersonal skills, ability to work individually and on a team, ability to work with confidential information, and attention to detail.  A requirement of this position is to be present in the office during normal business hours. Successful applicant may be subject to client mandated drug and background checking. Occasional travel/driving may be required. Successful applicant is subject to ECI’s auto insurance carrier requirements. Applicants must not require sponsorship for employment visa status (e.g., H-1B visa status) now or in the future.
