Executive Administrative Assistant

Under minimal supervision, reporting directly to the Vice President – Business Management, the successful applicant will provide day to day administrative support relating to the electrical engineering and construction industry. This position deals with a diverse group of external contacts and visitors as well as internal contacts at all levels of the organization.   It also includes access to highly confidential and sensitive information.  Understanding the information and the necessary discretion is essential.

Essential Duties and Responsibilities:

  • Communicate and coordinate (written and verbal) with General Managers, Project Managers, Engineering Managers, and Corporate staff members on all requested communications.
  • Creation and maintenance of Excel worksheets and Word documentation.
  • Schedule and monitor travel arrangements.
  • Monitor and screen incoming telephone calls and visitors.
  • Manage incoming and outgoing mail.
  • Assist with conference/meeting planning.
  • Prepare complex documents under minimal supervision with information necessary for decision-making.
  • Project and marketing support including dictation, copying, filing, meeting notes, assembling of books, reports, drawing sets; follow established filing systems and coordinating project meetings.

Minimum Requirements:  High school diploma, 2 years of related experience or combination of education and experience; construction management experience preferred. Excellent communication, organizational and writing skills a must. Working knowledge of a variety of computer applications including Microsoft Access along with Office Suite (Word, Excel and PowerPoint), SharePoint and ftp protocol software.  Successful applicant must have a high level of interpersonal skills to handle sensitive and confidential situations and must be a team player.  Occasional travel/driving may be requested. Successful applicant may be subject to client-mandated drug and background checking, is subject to EPC Services’ auto insurance carrier requirements.  Successful applicants must not require immigration sponsorship now or in the future.
